Request management

Creating GDPR requests in Right Requests is done by forwarding an email of the initial request.

The principle is to add in a whitelist the email addresses authorised to create requests directly in the tool via the forwarding of emails containing these requests.

The application also allows you to manually create a request.

Request lifecycle

Creating a request

  1. In Right Requests > List of requests, click New Request;

  2. Fill in the information related to the request, attach the initial text of the request, attach any files;

  3. Click on Save draft to be able to modify the request at a later date;

  4. Or click on Create and open the request to save and start the request processing process;

The initial request is created as a "Note", internal to your organisation and will not be visible when replying to the requester.

Qualifying a request

When a request is created via the email forward, it is given the status "draft" until it is qualified. The status of the request will be set to "In progress" when the mandatory information has been completed.

To qualify the request:

  1. Click Requests to display the list of requests;

  2. Identify the request to be qualified and click on the line of the request to display the details;

  3. Enter the type of request and the date of submission;

  4. In the Actions panel, enter the sender's email address by clicking on Enter sender;

  5. Click on Validate information;

Listing requests

You can list the requests for exercising rights in the Requests screen.

The information relating to the request is as follows:

  • the type of request: Opposition, Rectification, Portability, Limitation, Deletion;

  • the date of submission of the request: Date on which the request was made;

  • the date of expiry of the request: Date by which the response must be made;

  • the status of the request: Draft, In progress, Completed;

Requests can be filtered by:

  • Type;

  • Status;

  • Requests created since a given date;

  • Requests expiring before a given date;

The request list can also be sorted

  • Type;

  • Status;

  • Date of submission;

  • Date of expiry;

To sort, click on the sort icon in the column header label.

Responding to a request

Responses to GDPR requests entered in Right Requests can be sent to the recipient in two different ways:

 

  • by secure link (by default): the content of the message entered and the attached files will be accessible via a link sent by email to the recipient entered in the "Sender" field;

  • by email: the contents of the message entered and the attached files will be sent by email to the recipient entered in the "Sender" field;

  1. Write the response to be sent;

  2. On the response screen, click on the icon

  3. In the Response sending options window, select Email or Message with secure link.

  4. Click on Validate to save the selected option

If the Message with secure link option is selected, customise the accompanying message for the link
